How to Manage a Hostel in Nepal Without a Paper Register

Quick answer: to manage a hostel in Nepal well, keep four records up to date: your rooms and beds, a resident list with each person's entry date and fee, a monthly fee register showing who has paid, and your expenses. Bill every resident from their own entry date by the Bikram Sambat month, record part payments the day they happen, and close the month with one check of dues against expenses. Bill each resident from their own date

This is where paper registers go wrong. Residents don't all arrive on the first of the month, so they don't all pay on the same day. A resident who joins on Bhadra 12 owes for Bhadra 12 to Ashwin 11, then Ashwin 12 to Kartik 11. Someone who joined on Shrawan 3 is on a completely different cycle.

In a notebook, every new month means copying each row forward and working out each person's period again. One slip and a resident goes unbilled, or gets asked to pay twice, and nothing damages trust faster. Short stays make it harder still: a student staying ten days before exams doesn't fit a monthly row at all.

Whatever you use, write the entry date and the fee period next to every payment, not just the month name. That one habit prevents most billing arguments.

Record part payments the day they happen

Plenty of residents pay in two or three parts, especially students waiting on money from home. Record each part with its date and the amount still owed, the moment it arrives. At the end of the month, your dues list should come from the register, not from memory. A resident who has paid NPR 6,500 of a NPR 13,500 fee should show NPR 7,000 outstanding, in writing, before you ask.

Track expenses in the same place

Fees tell you what came in. Expenses tell you whether the hostel actually made money. Group them the way hostel costs really fall:

  • Kitchen: rice, vegetables, meat, milk, groceries and gas.
  • House: house rent, electricity, water and maintenance like plumbing.
  • Staff: cook, cleaner and warden salaries.

Mark each bill paid or unpaid. At the end of the month, fees collected minus expenses is your profit, and over a year you'll see which months run tight, often the ones when students go home for holidays.

Keep documents where you can find them

Keep a copy of each resident's citizenship or ID and admission form, each staff member's citizenship and salary record, and the hostel's own papers: registration, PAN, houseowner agreement and stamp. When a parent calls, an inspector visits, or a houseowner disputes the agreement, you'll have it in a minute instead of a morning.

What Kathmandu's hostel standards expect

Kathmandu Metropolitan City's Hostel Operation Standards, 2080 require hostels to get the Metropolitan City's approval, applying with documents such as citizenship, building maps and the ownership or lease agreement. The standards also cover toilets, kitchens, water, electricity and garbage management, and say fees should stay within limits without disproportionate increases (Edusanjal's report). A monitoring committee can order fixes, and in serious cases cancel a registration.

Clean fee records help here: if your fees are ever questioned, you can show exactly what each resident paid and when. Outside Kathmandu the rules differ by municipality, so confirm with your ward or municipal office.

A small hostel with a careful owner can run fine on paper. The bigger the hostel, and the more people who handle the book, the more the copying costs you in mistakes.

A 20 minute monthly routine

  1. On each payment day: record the amount, date and fee period straight away.
  2. Each week: enter the week's bills and mark which are paid.
  3. Last week of the month: check the dues list and message anyone outstanding, with the exact amount.
  4. Month end: compare fees collected against expenses, and note vacant beds to fill.
  5. When someone leaves: check them out on the day so the bed shows vacant and no new fee period starts.
